Vice President of College Advancement

Clerk V (Post Baccalaureate, Certificates) (Internal Posting)

Primary duties and responsibilities 

  1. Provide outstanding customer service through timely, professional communication with students, faculty, coordinators, advisors and advisees and other constituents, via telephone, email, fax and letters.
  1. Process post baccalaureate teacher licensure (PBTL) and certificate applications including acceptance/denial letters, updates on application status, and other admission correspondence, obtain official transcripts, establish student files, and create, maintain and oversee student records in SCT Banner Student System or other data bases and in student files.  Extensive use of Banner is necessary to accomplish many tasks related to Graduate Programs including:

·          entry of converted and new applications

·         maintenance of admissions checklists

·         run admissions match and push process

·         process admissions communication plans

·         run extracts for admissions letters

·         merge extract information into new letters

·         use of Argos for reporting and verification of Argos admission reports

·         assist students with online admission process

·         other tasks as required

3.    Maintain Course Progress forms and other student records for Liberal Studies majors

4.    Assist in responding to PBTL, certificate and Liberal Studies inquiries; provide routine information and inform students on admission procedures and program requirements. 

5.    Maintain up-to-date PBTL and certificate student files, assemble pertinent material for admission review and advising; handle student correspondence; assist with registration, monitor files and records each term for matriculated students; prepare reports on registered, not registered, and inactive students.

6.    Organize and enter lists of program completers in Banner or other database.

7.    Prepare certificates of completion

8.    Resolve web registration problems.

9.    Monitor daily reports for non-payment of registrations and contact students to resolve.

10. Monitor and provide the Associate Dean with daily seats left rosters.  Assist in identifying which courses are full or close to filling.

11. Provide back-up coverage of frontline duties such as handling telephone calls and assisting students at the desk.

12. Other duties as assigned by Dean, Associate Dean or Staff Associate.

 Qualifications:

 §  Academic credentials and/or experience suitable to fulfill the duties and responsibilities of the position.

§  Minimum one year office experience required.

§  Strong interpersonal and customer service skills.

§  Excellent organizational and communication skills. 

§  Proven ability to multi-task.

§  Ability to maintain confidential and sensitive records.

§  Ability to work in a team environment; to work under pressure and tight deadlines; to represent the College to the public in a professional and positive manner; and to establish and maintain effective working relationships with office staff as well as the college community.

§  Experience working in a higher education environment preferred.

§  Excellent technical skills, including strong working knowledge of Microsoft Office with a minimum of intermediate knowledge of Excel.  Experience with SCT Banner Student System is preferred.

Help Desk Manager, Staff Assistant (ITS) (Internal Posting)

SUMMARY OF FUNCTION

The Help Desk Manager is responsible for Help Desk operations and personnel in support of the College’s information technology systems and services.  This includes providing technical support for preventing, troubleshooting and resolving issues having to do with computer hardware and software.  Also develops, maintains, and enhances the call management and issue tracking system(s) and operating procedures.  The Helpdesk Manager reports directly to the Director of User Services, and works in collaboration with others within and outside the division of Information Technology Services.

PRIMARY RESPONSIBILITIES 

1.     Manage and supervise the daily activities of the Help Desk function, to include training, coaching, organizing, planning and staffing operations.

2.     Consults with faculty, students, and staff regularly to evaluate issues and research solutions.

3.     Assists in the development and review service level agreements with other areas of the College to increase overall satisfaction with information technology services and support.

4.     Observe and measure technical support service organization performance against requirements, and recommend modifications to existing operations or development of new policies and procedures.

5.     Prepare operational reports and provide analysis setting forth progress, adverse trends and appropriate recommendations or conclusions.

6.     Continually reviews and recommends to the Director of User Services, improvements associated with workflow, call handling, classification and routing of calls to the Help Desk, and the subsequent logging, tracking, prioritization, escalation and timely follow-up on calls.  Ensures work in these areas is done properly. 

7.     Provides system administration for designated applications; call management and issue tracking (HEAT), antivirus, System Management Server (SMS), and Software Update Service (SUS) . 

8.     Develop and enhance operational procedures for installation, troubleshooting, and maintenance of College owned; printers, laptops, notebooks and desktop computers.  

9.     Recommends to the Director of ITS, User Services, various personnel actions including, but not limited to; hiring, performance appraisals, promotions, transfers, and vacation schedules.

10.   Assist with creation and maintenance of accounts for student users of the Framingham State College computing network, and configuring computers for use on the network.

11.   Serve as liaison with University of Massachusetts Information Technology Services for E-mail hosting services, and designated third party providers of technology and services.

12.   Prepares and maintains documentation as needed.

13.   Serves as a back up to the Director of User services when needed.

14.   Assumes additional responsibilities as may be determined by the Director of ITS-User Services or the Chief Information Technology Officer. 

REQUIRED QUALIFICATIONS 

1.      4+ years progressive experience in a computer related field

2.      3+ years of management experience in a computer related field.

3.      Related documented technical education and/or experience suitable to fulfill the duties and responsibilities of the position. Academic credentials of a bachelor’s degree preferred

4.      Strong interpersonal skills.  Ability to establish and maintain effective working relations with the ITS staff as well as the college community required.

5.      Knowledge of and demonstrable experience in all facets of the position as described in the above duties.

6.      Experience providing support services within a technology organization, using many Microsoft products and the NT/Win2000 and XP operating system, as well as strong computer troubleshooting and maintenance ability required.

7.      Excellent analytical, organizational and communication skills required

8.      Ability to multi-task and perform multiple projects

Payroll Assistant/Accountant II - Payroll Office

GENERAL STATEMENT OF DUTIES:

The qualified candidates will process payroll for visiting lecturers, contractors, continuing education employees and students using the state’s HRCMS (PeopleSoft) system.

 SPECIFIC DUTIES AND REQUIREMENTS:

 Responsible for the processing of all visiting lecturer, contractor, Continuing Education and student payrolls including overtime, tax sheltered annuities, direct deposits, collective bargaining changes, travel reimbursements,  taxes, OBRA, union dues, contractor health insurance, garnishments and other salary deductions, completing State payroll forms and entering them into the internal and State payroll systems.

 Assist in the processing of the employee payroll, costing and implementing Collective Bargaining agreements, completing employment verifications, training College departments on policies, procedures and systems.

 Research, process and verify contractor service buy-back requests for State retirement.

 Perform reconciliations between the internal and external payroll systems.

 Maintain records and transaction histories for all employees and contractors including contractor standard contracts.

 Must have good oral and written communication skills to interact with employees and contract personnel, College department directors and State agencies in person, by telephone and email.

 Update the payroll channel on the College’s portal.

 Will report to and assist the payroll manager in all aspects of the College payroll.

 Will oversee the functions of an employee, contractor and students in the payroll office.

 Assist in the development and implementation of all payroll policies and procedures, the maintenance of all manual and computerized payroll files and the development and implementation of new policies and procedures as it relates to the payroll system.

 Assist in the development and implementation of an employee and contractor database.

 Assist in the continued development of internal controls.

 Prepare, run and review reports for management from the State Warehouse and Document Direct reporting systems as well as internal systems.

 Assist in any changes that might affect the payroll office as it relates to the implementation of the College-wide administrative system.

 Assist in filing, copying, organization of storage boxes and other office type functions.

 Perform other Business Office duties as assigned.

 QUALIFICATIONS:

 Experience in payroll processing, policies and procedures; advanced knowledge of Microsoft Excel, Access, Word and other Microsoft Office skill; ability to travel to Boston and other areas of the State to attend training sessions and seminars regarding the State’s payroll system.   Qualified candidate must be extremely accurate, organized, work independently and on a team and adhere to strict deadlines.  Some overtime and weekend work required. Experience in the State’s HRCMS/LCM Payroll system preferred. 

MINIMUM ENTRANCE REQUIREMENTS:

 Two years full-time or equivalent part-time professional experience or any equivalent combination of the following: Associates degree with major in accounting, business administrations or business management may be substituted for a maximum of one year experience or a Bachelor’s degree in the fields already noted may be substituted for two years experience.

Assistant Director of Development and Director of the Annual Fund

Responsibilities: Framingham State College is seeking an individual with demonstrated experience in higher education fundraising to join the college advancement team as an Assistant Director.  The Assistant Director, reporting to the Executive Director of Advancement, will oversee the College’s efforts to raise annual financial support from alumni, parents, faculty/staff, students and friends through mail, personal and telephone solicitations, e-mail and other formats. 

Specific duties include:

1) Organize, plan and execute a comprehensive annual fund program to ensure the highest participation rate possible from all of the various constituencies of the College, including developing and implementing strategy for direct mail and telephone solicitations as well as renewals, acquisitions, personal visits, and other means of raising annual support for the College;

2) Plan and execute strategy to increase membership in the President’s Circle Society (donors of $1000 and more annually), including renewal of current and lapsed members and acquisition of new members, and recognition and cultivation of events for donors at this level, including the planning of the annual President’s Circle dinner;

3) Manage a reunion giving program designed to significantly increase giving from those alumni celebrating key reunions and manage the planning and implementation of a senior gift program;

4) Increase giving among targeted and segmented groups of alumni by tailoring messages and materials to these groups;

5) Supervise the outsourced telemarketing program; and

6) Assist with other duties as required in order to advance the mission of the advancement area. 

Qualifications:  Bachelor’s degree required.  Minimum of three years of fundraising experience, preferably in an academic setting.  Extensive knowledge of fundraising techniques, both direct response and personal cultivation and solicitation. Excellent interpersonal skills including the ability to solicit gifts and provide customer service.  Exceptional organizational, oral and written communications skills.  An understanding of marketing and printing techniques.  Familiarity with Banner, PC and database applications desired.

ADMINISTRATIVE ASSISTANT, DEVELOPMENT OFFICE (1 full-time 10 month contract position)

Framingham State College seeks a full-time administrative assistant with strong organizational skills to support its Alumni Relations and Development Office.  The successful candidate will be have strong computer skills, experience with Donor Perfect software and/or a willingness to learn it, and will be comfortable processing contributions to the College.  Individuals who seek to work in a professional and friendly environment and who have excellent interpersonal skills are encouraged to apply.  Benefits are not included.  BANNER STUDENT SYSTEMS USER LIAISON (STAFF ASSISTANT), INFORMATION TECHNOLOGY SERVICES

 I.              SUMMARY OF FUNCTION

The User Liaison will work with Banner Student system users in various administrative departments to assess, train and assist with the implementation, conversion, approved customizations and ongoing support of Banner administrative software.  

 II.            PRIMARY RESPONSIBILITIES

Consults with supervisor, systems analysts, other programmers, and end users to gather information about program intent, functions, features, data requirements, input requirements, output requirements, internal and external checks and controls, hardware and operating system environment, and interfaces with other systems.  

Trains end users on basic Banner ERP system functions necessary for department's general operation of the system

Works with users in various administrative departments to provide functional support for the Banner ERP system.

Provides Banner functional support, and helps departments identify appropriate online and training solutions to assist in their functional use of Banner.

Provides technical assistance by responding to inquiries regarding errors, problems, or questions with software.

Assists departments in the review of appropriate documentation, including procedure manuals, training materials, and system documentation based on the business processes as defined by the institution or functional department.

Consults with supervisor and end users to gather information about software intent, functions, features, data requirements, input requirements, output requirements, internal and external checks and controls.

Assist end-users in the use of reporting system

Trains end users or technical support staff to use and support program.  

Troubleshoot and resolve student system errors.

Serve as a Liaison between the Student Services area and ITS.

Serve as a Liaison between and Banner Student module (and related offices) and the offices supporting other Banner and non-Banner modules.

Coordinates with programmers.

III.           REQUIRED QUALIFICATIONS

 

Bachelor's degree (B. A.) from four-year college or university; or four to six years related experience and/or training; or equivalent combination of education and experience.

 

Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

 

Strong communications (verbal and written) and organizational skills.

 

Good interpersonal skills with users.

 

Hands-on experience supporting SCT Banner Student system from a functional support role required with three or more years experience.

 

Project management skills related to managing multiple tasks, developing testing plans, and managing the work of other departmental resources.

          DESIRED QUALIFICATIONS

 

Experience in post-secondary educational institution.

 

Familiarity with Workflow and Xtender Imaging Tools
