Reservation Process

Sponsors of the University, faculty, staff, administration, etc., below are a series of guidelines recommended by our staff for reserving a room on campus.

  • Email, or visit the Office of University Events for room availability.  We can be found in the Crocker Hall Annex. 

  • A HOLD can be placed in the Reservation Calendar Book for one week or longer with permission from the Reservation Assistant. 

  • A Reservation Form must be filled out with all event information included and returned to the Reservation Assistant either in person, by e-mail, by fax, or by interoffice mail within 10 business days of the event. 

  • Your Reservation Form will be reviewed. You may receive a call or e-mail with any questions that the Reservation Assistant may have or to inform you that there may be services that the Reservation Division is unable to provide.

  • Some requests are subject to administrative approval and may take longer than one week to process. The Reservation Assistant or a member of the Office of University Events  will inform you of any restrictions. 

  • You will receive a contract from the Reservation Assistant or the Coordinator of University Events through e-mail, interoffice mail or via fax. Review the contract, sign or electronically sign, and return the original contract to the Reservation Division. Make sure to make a copy of the contract for your records. Once you sign and return the contract your reservation is complete. You may then contact Sodexo Campus Services, the Framingham State University Police Department for catering and parking needs, respectively. In the event that maintainer coverage may be required, the Reservation Assistant will notify you. You must contact Facilities to make arrangements. This normally occurs whenever you book an event after normal business hours (7:00 a.m. – 4:00 p.m., Monday through Friday). This may also be applicable for large-scale events.

  • If any changes or additions are needed after the completion of the contract, the Reservation Assistant must be contacted immediately so that the changes or additions can be made and the contract revised. Changes or additions would include event times, dates, location (s), Sponsorship change, number attending, equipment, AV requirements, or set-up requirements. A revised contract will be sent to the Sponsor and must be signed and returned to the Reservation Division.

Sponsors of the University (student clubs and organizations):

  • Stop by the Reservation Division located in the Crocker Hall Annex to determine room availability for your proposed event. You will then work with your Student Involvement and Leadership Development resource person to plan and determine all aspects of your event. All necessary paperwork, including the Student Organizations & Clubs Reservations Form or online form, must be completed. You must have your Advisor and your resource person’s signatures on your Reservation Form on the back. A HOLD can be placed in the Reservation Calendar Book for one week or longer with permission from the Reservation Assistant while you meet with the resource person to register your event. 

  • You will receive a reservation contract from the Reservation Assistant through e-mail, interoffice mail or via fax. Review the contract, sign, and return the original contract to the Reservation Division, University Center Room 215. This contract only reserves a room and does not ensure that your event is registered with the SILD office. After you and the resource person sign the contract your reservation is complete. Working with the resource person, you may then contact Sodexo Campus Services and the Framingham State University Police Department for catering and parking needs, respectively.
